How to Setup & Use Your Zone 1 VoiceMail

QuickClicks [the “quick & dirty” versions]: Setup & greetings
Change number of rings  •  Menu options
Retrieve when home   •   Remote retrieval

As all voicemail (“vmx”) accounts are set up with a default password of “1234,” you can understand the necessity of changing yours to something private to you. If you lose or forget your password, we can reset it to the default so you can start over.

Your voicemail will store up to 30, 2-minute messages (40 for businesses) for 30 days. After 30 days, mail is deleted on a “first in/first out” basis, so your older messages will be deleted first, as new ones arrive. Your greeting may also be up to 2 minutes long.

If you have Caller ID LINE Blocking enabled on your voicemail line, you must disable it temporarily (press *82) whenever you want to get into the system, from your home location, to make changes or to retrieve messages.

Note for Remote Retrieval—We have several local exchange numbers set up throughout our voice-service area, allowing you to access your voicemail from numerous areas in Vermont without incurring long-distance charges. The voicemail access numbers all end with “-6245,” (xxx-MAIL). If you need to check your messages from an area or phone that does not recognize the call as local, use your home -MAIL number preceded by “1 (802)” (which will incur long-distance charges) or dial your number directly.

Change the number of rings before an incoming call goes to voicemail:

  • *94
  • listen for 3 fluttering tones
  • enter the number of rings (0-9) desired
(only a single digit will work—12 will set 1 ring, not 12 rings—0 means the call is sent on immediately, you'll hear nothing.)
  • listen for 2 flutter tones, a pause, and the dialtone return
  • the change is set

Note that changes to the ring cycle affect all individual voicemail boxes on a Multi-box system, boxes cannot be set for different numbers of rings.

SETTING UP YOUR NEW VOICEMAIL BOX—One-box System
It takes just a few minutes to set up a voicemail box on your phone number. Setting up the mailbox is done the first time you call in. An automated operator will give you a quick (60 second or so) overview, then take you through the setup and prompt you to press certain touch-tone keys in response to her questions.

Follow these steps (if Line Block is on, disable first with *82):

  • From the phone which has had voicemail enabled, dial *99
  • You will be instructed to change your temporary password.
You may reset your password again any time you choose. Your password must be at least 4, and not more than 10, digits. Follow the automated operator’s instructions.
  • Once you have changed your password, you are asked to record a personal greeting, up to 2 minutes long. This personal greeting is played to callers when they are forwarded to your voicemail box. Follow the automated operator’s instructions.
Note: Three seconds after you have stopped talking the automated operator will end the recording or you may press # to end the recording.
  • The next step is to record your name. Follow the automated operator’s instructions.
Note: Three seconds after you have stopped talking the automated operator will end the recording or you may press # to end the recording.
  • The automated operator will also give you a few helpful hints, then instructions on how to exit the system.
  • And you’re done—hang up the phone.

You will be given the option of accessing the settings (press 8) each time you dial in to check messages—changing passwords, recording a new greeting, etc. are all readily available to you at any time. If you have no waiting messages, you’ll be offered the menu of options after a short pause. If you do have messages waiting, you’ll be offered the option of listening to them first, if you wait a second or two, you’ll get the menu of options available.

For reference, the menu codes are:

  • 8   User Options
  • 6   Make New Message
  • 7   Play Message
    • * to rewind  (5 seconds with each press of the button)
    • # to fast-forward  (5 seconds with each press of the button)

  • 4   Give Message to Another (Forward)
  • 5   Keep Message
  • 3   Discard Message
  • 9   EXit
  • 9#  Exit, and immediately re-enter the system

(Remember, if LINE Blocking is on, temporarily disable with *82 to gain access to the system)

How do I check my messages?

When you hear the fluttering message-waiting tone:

  • Press *99 to access your mailbox
  • Enter your password at the prompt, and check messages
  • Save or delete messages per the key-press options presented to you ("D" to delete, "S" to save, "X" to exit, "8" for settings).

How do I check my messages remotely?
(No need to disable LINE Blocking when retrieving remotely)

I. Via the VoiceMail system, directly—Dial the local XXX-MAIL (-6245) voicemail number where you are calling from. The automated operator will prompt you on retrieving your messages. You will need to enter the 7-digit phone number for which the voicemail is enabled, and the 4- to 10-digit password you set up.

  • Dial the Voicemail System number xxx-MAIL (xxx-6245); the automated operator will say, "Welcome to the Message Center. Please enter a mailbox number or wait."
  • Key in your 7-digit phone number at the prompt (ie: the "mailbox number")

    • Immediately press the * key,
    • Enter your password and check messages.

SETTING UP THE MULTI-BOX SYSTEM

The Multi-box system provides a primary greeting where the caller can be given a menu of options to leave a message in any of up to 4 mailboxes. The 4 mailboxes have 5-digit ID numbers and separate greetings and storage areas. The mailboxes are numbered using the last 4 digits of the line on which the system is enabled, and then adding digits ’1’ through ’4,’ one to each box. Thus a line with the number 123-4567 would have mailboxes numbered 45671, 45672, etc.

If LINE Blocking is on the voicemail line, you must temporarily disable it (*82) in order to gain access to the system from your "home" location.

The first step is to set up the primary vmx menu. To do this (*82 to disable Line Block if necessary):

  • From the phoneline which has had voicemail enabled, dial *99
  • Press * as soon as the automated message begins. You will be instructed to change your temporary password.
You may reset your password again any time you choose. Your password must be at least 4, and not more than 10, digits. Follow the automated operator’s instructions.
  • Once you have changed your password, you are asked to record a greeting, up to 2 minutes long. This where you will indicate the vmx options for the caller (EG: "press 1 to leave a message for Support;" "Press 2 to leave a message for Harry;" and so on. Follow the automated operator’s instructions. It might be good to leave one box for a general purpose message box for those who aren’t sure where they want to go. Messages can be forwarded from one box to another.
Note: Three seconds after you have stopped talking the automated operator will end the recording or you may press # to end the recording.

Individual voicemail boxes

Up to 4 boxes may be enabled. Any boxes enabled should be personalized. Any enabled boxes that are not personalized and in active use will retain the generic default greeting and will accept messages from callers. Thus, you may miss a message in a “live” but unused (unassigned) box if you fail to check it.

If a caller fails to select a box in which to leave a message, they will be brought to box 1 by default—you may wish to make box 1 the catch-all for your system.

Each box owner sets up their own password and greeting. Each box will store 40 messages (30 for a residential system) for up to 30 days. After 30 days, messages are deleted on a "first in/first out" basis; messages, including the greeting, may each be up to 2 minutes long.

It takes just a few minutes to set up a voicemail box on your phone number. Setting up the mailbox is done the first time you call in. An automated operator will give you a quick (60 second or so) overview, then take you through the setup and prompt you to press certain touch-tone keys in response to her questions. All initial passwords are set to "1234", so the first thing you’ll be asked to do is replace that temporary password with one of your own devising. Follow these steps (disabling Line Blocking if necessary, with *82 first):

  • From the phone which has had voicemail enabled, dial *99
  • You will be given a list of the mailbox numbers—enter the single digit corresponding to the mailbox ID assigned to you, the project, or the department.
  • You’ll be instructed to change the temporary password.
You may reset the password again any time you choose. Your password must be at least 4, and not more than 10, digits. Follow the automated operator’s instructions.
  • Once you have changed the password, you are asked to record a personal greeting, up to 2 minutes long.

• 3   Discard Message
